Membership terms

Last updated 10 Sep 2026.

Draft. This wording was written by the build team from how the platform actually works, and has not yet been reviewed by THBC's solicitor. It is here so nothing links to a missing page; treat it as a working document.

1. Who we are

THBC Practice Hub ("the Hub") is operated by The Holistic Business Coach ("THBC", "we", "us").
You can reach us at support@thbcpractice.co.uk.

2. What membership gives you

A membership gives you access, for as long as it is active, to:

  • your Business Profile, Flourishing Stage assessment and guided journey;
  • the operational tools in the Hub: Clients, Diary, Offers and Money;
  • the THBC Academy, delivered through our learning platform;
  • your named AI Guide, where your membership tier includes it.

We add to and improve the Hub over time. We may change or withdraw individual
features, but we will not remove something central to your current journey without
telling you first.

3. Your account

You are responsible for keeping your password safe and for everything done under your
account. One membership is for one practitioner: please do not share your sign-in.
Tell us straight away at support@thbcpractice.co.uk if you think someone else has access.

4. Payment and renewal

Membership is paid in advance by card, monthly or annually, and renews automatically
until you cancel. Prices are shown before you pay. If a payment fails we will try
again and let you know; if it keeps failing we may suspend access until it is settled.

5. Cancelling and refunds

You can cancel at any time from your membership page. Cancelling stops the next
payment; your access continues until the end of the period you have paid for. Any
statutory right to cancel a distance contract within 14 days applies in addition to
this. [[THBC: confirm the refund position you want to offer.]]

6. Your content is yours

Everything you put into the Hub โ€” your profile, your written work, your client
records, your diary and your invoices โ€” belongs to you. We store and process it to
run the service for you. You can export it or ask us to delete it at any time
(see the privacy policy). We do not sell it, and we do not use your client data to
train anyone's AI model.

7. Your clients

When you record a client in the Hub you are the data controller for that person's
information and we act for you. That means you are responsible for having a lawful
basis for holding it, for the accuracy of what you record, and for answering that
person if they ask what you hold. The Hub gives you the tools to do it: per-client
export and erase, and encrypted client notes.

8. The AI Guide

The Guide is a business companion, not a professional adviser. It offers business
guidance only. It does not give clinical, medical or treatment advice, and anything it
says about legal, tax, insurance or regulatory matters is general orientation that you
should confirm with a qualified professional. You stay responsible for the decisions
you make in your practice.

Your Guide is given a limited, defined slice of your Business Profile so it can be
useful without prying. It is never given your clients' personal details, your client
notes, your payment details or anyone else's data. You can turn off profile context
entirely in your settings, and the Guide will then work from the conversation alone.

9. Fair use

Please do not use the Hub to break the law, to send unsolicited marketing, to store
content you have no right to, or to try to get at other members' data. We may suspend
an account that does.

10. Our responsibility

We work hard to keep the Hub available and your data safe, but we cannot promise it
will never be unavailable. Nothing in these terms limits our liability for death or
personal injury caused by negligence, for fraud, or for anything else that cannot be
limited by law. [[THBC: your solicitor should set the liability position here.]]

11. Ending a membership

You can leave at any time. We may end a membership if these terms are seriously or
repeatedly broken, or if we stop offering the service โ€” in which case we will give you
reasonable notice and time to export your work.

12. Changes to these terms

If we change these terms in a way that matters to you, we will tell you before the
change takes effect, and you can cancel if you do not agree.

13. Law

These terms are governed by the law of England and Wales, and the courts of England
and Wales have jurisdiction.
